A decade ago, a strong solo-investigator proposal could compete for almost any grant. That is no longer true. Across NSF, NIH, Horizon Europe, and most national funding bodies, reviewers are now explicitly instructed to weigh the breadth and complementarity of the research team as part of scientific merit — not just the strength of the idea.

For professors used to writing proposals alone, this shift changes the entire timeline of grant-seeking. The team is no longer something you assemble after you have a promising idea. It is now part of what makes the idea promising in the first place.

Funding Agencies Are Explicitly Rewarding Collaboration

Look closely at recent funding calls and a pattern emerges: multi-institutional and interdisciplinary teams are treated as a proxy for ambition and real-world impact. A single-PI proposal studying a narrow technical question reads very differently from the same question backed by a team that spans a statistics department, a clinical site, and a policy research center.

This is not just a stylistic preference. Agencies use collaboration as a risk signal. A proposal with contributors from multiple institutions demonstrates that the idea has already survived outside scrutiny — other researchers looked at it and chose to attach their name and their institution's resources to it. That is a harder thing to fake than a well-written motivation section.

A Stronger Proposal Starts With the Right Team, Not the Right Idea

The instinct for most professors is to perfect the research question first, then look for collaborators to fill in gaps once the proposal is mostly written. This usually produces the opposite of what reviewers want: a lead investigator's idea with a few names added for credibility, rather than a genuinely integrated team.

Proposals that read as authentically collaborative tend to start the other way around. The investigator identifies the boundaries of their own expertise early, then deliberately seeks out people whose skills sit just outside those boundaries — a methodologist who can strengthen a weak analysis plan, a domain expert from an adjacent field who can extend the project's applicability, a researcher at an institution with access to a population or dataset the lead investigator cannot reach alone.

That kind of team cannot be assembled in the two weeks before a deadline. It has to exist already.

Cross-Institutional Teams Signal Credibility to Reviewers

There is also a quieter advantage to multi-institutional teams that has nothing to do with the research itself: distributed institutional reputation. A reviewer unfamiliar with a lead investigator's home institution may still recognize a co-investigator's university, lab, or prior publication record. Each additional institution attached to a proposal is another point of familiar ground for whoever is reading it.

This matters more than most professors assume, particularly for researchers at smaller or less internationally known institutions. A well-chosen co-investigator at a recognized research university does not just add expertise — it adds legibility to reviewers who are, realistically, scanning dozens of proposals under time pressure.

Finding Collaborators Before You Need Them

The practical problem is that most professors only start looking for collaborators once a specific funding call appears, which gives them weeks, not months, to find the right people. By the time a strong match is identified, there is often no time left to build the kind of working relationship a joint proposal actually requires.

The professors who consistently win multi-institutional grants tend to treat collaborator discovery as an ongoing habit rather than a pre-deadline scramble. They follow researchers whose work complements theirs, stay aware of who is publishing in adjacent areas, and have informal conversations with potential collaborators long before there is a specific grant to apply for.
